Job Title: Office Administrative Assistant

Location: Jackson, OH – 100% In Office

Employment Type: Full-Time, Salary, Monday – Friday 8am-5pm

Reports To: Director of Finance and Administration

Job Summary

The Office Administrative Assistant plays a key role in supporting daily office operations and ensuring efficient administrative processes across the organization. This position provides support to the executive team, project managers, and office staff, helping to maintain organization, communication, and workflow in a fast-paced, project-driven environment. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities effectively.

Key Responsibilities

  • Answer and route incoming calls; greet visitors, clients, and vendors in a professional manner.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Maintain office supplies inventory and coordinate ordering as needed.
  • Ensure office equipment is functioning properly and coordinate maintenance or repairs.
  • Assist with scheduling meetings, conference rooms, and company events.

Administrative Support

  • Prepare and distribute correspondence, reports, and presentations.
  • Maintain organized filing systems (electronic and hard copy) for company documents.
  • Assist with data entry and maintaining internal databases.
  • Support executives and managers with general administrative tasks as needed.
  • Coordinate travel arrangements and meeting logistics when required.

 Project & Team Support

  • Assist project teams with document preparation and organization.
  • Support tracking of project-related documentation and communications.
  • Help coordinate internal meetings, site visits, and team activities.
  • Provide general support to project managers and staff to ensure smooth workflow.

General Accounting Support

  • Assist with invoice entry and basic coding in accounting systems.
  • Support accounts payable and receivable functions, including organizing documentation.
  • Maintain accurate records of financial and administrative transactions.

 

Required Qualifications

  • Proficiency with Microsoft Office Systems
  • Strong organizational and communication skills
  • Prior office experience preferred
