Job Summary
The Project Coordinator provides administrative, operational, and project support for construction projects from preconstruction through project closeout. This position works closely with project managers, field personnel, subcontractors, vendors, clients, and other stakeholders to support effective project execution, documentation, communication, scheduling, procurement, and project controls.
The level of responsibility, project complexity, degree of autonomy, and project controls expectations will be aligned with the candidate’s experience, qualifications, and demonstrated capabilities.
Key Responsibilities
- Coordinate and support project activities from preconstruction through project closeout.
- Maintain project files, records, contracts, drawings, specifications, correspondence, and other project documentation.
- Prepare and distribute meeting agendas, minutes, project reports, and other project communications.
- Track and manage submittals, requests for information (RFIs), permits, change orders, contracts, and other project documentation.
- Coordinate communication among project managers, field personnel, clients, consultants, subcontractors, vendors, and other stakeholders.
- Monitor procurement activities, material requirements, and delivery schedules.
- Assist with project schedule updates, cost tracking, forecasting, and performance reporting.
- Support project managers with project controls, including schedule, cost, documentation, and performance tracking.
- Assist with project startup, closeout, turnover, and other project lifecycle activities.
- Identify potential project issues, documentation gaps, or process improvements and communicate them to appropriate project leadership.
- Support the preparation of project performance metrics and reports as appropriate to project size and complexity.
- Promote consistency, efficiency, and compliance with company project procedures and standards.
- Provide guidance and support to less experienced project coordination personnel, as appropriate.
- Perform other duties, responsibilities, and special projects as assigned to support Project and organizational objectives.
Qualifications / Experience
Education
Associate’s or Bachelor’s degree in construction management, business, engineering, or a related field preferred; equivalent experience may be considered.
Experience
- 0-5+ Years experience in construction administration, project coordination, project controls, or a related field preferred.
- Experience supporting construction projects of increasing size and complexity preferred.
- Knowledge of construction processes, project documentation, and the construction project lifecycle.
- Experience with project controls, including scheduling, cost tracking, procurement, RFIs, submittals, contracts, or change management, is preferred.
- Strong organizational, analytical, communication, and problem-solving skills.
- Proficiency in Microsoft 365 applications.

Working Conditions
This position is expected to work a standard full-time schedule in a construction environment. Additional hours, including evenings and weekends, may be required periodically to meet project requirements, project deadlines, and organizational needs.
